Privacy policy

What we collect, why, and what we do with it — in plain language. Short version: only what you type into a form, no trackers, no cookies, and we never pass your details to suppliers.

SFbei operates the website at sfbei.com and a permanent showroom at 1070 Bryant Street, San Francisco. This policy explains what personal information we collect through this website, why, and what we do with it. It is written to be read rather than to be impressive.

What we collect

We only collect what you type into a form. There are five of them, and each one is labelled where it appears:

  • Supplier application — company name, contact person, role, email, phone, country of manufacture, product category, catalog link and company bio.
  • Builder pre-registration — name, work email, company or lab, role, an optional website or LinkedIn, and a description of what you are sourcing.
  • Contact form — name, email, optional company, topic and your message.
  • Job application — name, email, the role, a CV or profile link and your note.
  • Event notifications — name, email, optional company, which formats interest you and any note.

Alongside each submission our server records the IP address it came from and the browser user-agent string. We use these solely to rate-limit and to filter automated spam.

What we do not collect

This site has no analytics, no advertising pixels, no third-party trackers and no cookies. Fonts and images are served from our own server, so loading a page does not tell any other company that you visited. We do not build advertising profiles and we have nothing to sell to a data broker.

Why we use it

  • To assess and respond to your application, registration, message or enquiry.
  • To build your supplier profile in the public directory, if your application is accepted — using only the business information you sent for that purpose.
  • To send you the event information you asked for.
  • To keep the forms working: rate-limiting, spam filtering and security.

We do not send marketing you did not ask for, and there is no newsletter to be silently added to.

Who sees it

Submissions are stored on our own server and emailed to the SFbei team through a transactional email provider that acts as our processor. We do not sell, rent or trade personal information. We do not pass your contact details to exhibiting suppliers — when you ask for an introduction on the floor, we make it, and from that point you are talking to them directly on your own terms.

We may disclose information if we are legally required to, or where it is necessary to protect our rights, safety or property.

How long we keep it

  • Supplier applications: for the life of the exhibitor relationship, or up to two years if declined.
  • Builder registrations: while your access is active, plus two years.
  • Contact messages: up to two years.
  • Job applications: up to one year, unless you ask us to keep you on file for longer.
  • Event notification lists: until you ask to come off, or two years of inactivity.

Your rights

Wherever you live, you can ask us to show you what we hold about you, correct it, delete it, or stop using it. If you are in California, the CCPA/CPRA gives you these rights explicitly, along with the right not to be discriminated against for exercising them — and we would note that we do not sell or share personal information as those terms are defined. If you are in the EEA or UK, the GDPR gives you the equivalent rights; our lawful bases are your consent and our legitimate interest in operating the business you contacted.

To exercise any of this, email hello@sfbei.com. We will respond within 30 days and we will not ask you to explain yourself.

Security

The site is served over TLS. Form submissions are stored on a server we control, with access limited to the people who need it. No system is perfectly secure, and we will not pretend otherwise — but we do not collect payment details or sensitive personal categories through this website at all, which is the best security control available.

Children

This site is aimed at businesses and professionals. We do not knowingly collect information from anyone under 16. If you believe a child has sent us information, tell us and we will delete it.

Visiting the showroom

When SFbei opens, visiting the building may involve additional processing — a visitor log, access credentials, and CCTV in common areas for security. We will publish a separate notice covering the premises before we open, and display it at reception.

Changes

If we change this policy we will update the date at the top. Material changes will be flagged on the site rather than made quietly.
